Official Airport and Welcome Services

The LOC will provide adequate welcome services at the official airport, Munich Airport (MUC), which is located between 20 to 35 minutes from the Team Hotels.

To ensure a proper pick-up procedure, all teams are responsible for including their exact arrival information in the Final Entries. After the closing of the Final Entries, any amendments and updates will have to be sent by email to [email protected] with copy to [email protected].

In case of late or lost luggage, please go directly to the designated desk inside the baggage claim area.

Upon arrival at Munich Airport, the teams are kindly asked to approach the Welcome Desks after customs. There are two Welcome Desks – one in Terminal 1 and another one in Terminal 2. (see maps in the Appendices)

The operating hours of the Welcome Desks will be as follows:

6-21 August 202208:00 – 21:00

Scheduled arrivals prior to or after the opening dates and hours of the Welcome Desk will be managed separately without welcome desk, but with volunteers and name boards to find the participants.

Team Leaders will be taken directly to the Team Accreditation Centre (TAC) to collect all Team Members’ accreditation cards.

In case of early or late arrivals, accreditation formalities shall be carried out the next day, or as soon as possible.

Teams arriving by road are kindly asked to go directly to their allocated Team Hotel, where they will be welcomed at the information desk.

Arrival by train

To ensure a proper pick-up procedure, all teams are responsible for including their exact arrival information in the Final Entries. If there are any changes for arrival or departure please ensure that you have include them also in the system.

Teams or Team Members arriving at Munich Central Station (München Hauptbahnhof) will be greeted at the corresponding platform by Volunteers, who will ensure smooth arrivals.

Citizens of the following countries require a visa to enter Germany:

Visas should be obtained before leaving your country, from the German Embassy or Consulate in advance. Please ensure you complete all the procedures in due time.

Visa Application

Visa Enquiry Timeline

Visa applications must be submitted directly to the respective embassy (see list above) up to three months before entering Germany. However, please consider that the entire visa procedure might take up to five weeks from the first contact with the visa authority. Short-term issues might cause unnecessary complications for and with the relevant authorities.

Please schedule an appointment at your respective embassy as soon as possible in order to speed up the visa procedure when the invitation letter is sent out.

Invitation Letter

Participants who require a visa can contact the LOC to request an invitation letter to initiate visa procedures at the visa issuing authorities as early as possible. Please contact:

The following information must be included in the request for an invitation letter:

  • Full name (First name and family name, as written in passport)
  • Date of birth
  • Country of birth
  • Gender
  • Passport number and passport issue & expiry date (passport should be valid at least 6 months after the end of competition)
  • Residence (Street, Zip Code, City)
  • Arrival and departure date
  • Function in the Team (Athlete or Official)

It is recommended to attach proof of your federation membership to your request to the visa authority.

The invitation will be sent to you as soon as possible.

Insurance

According to the European Athletics Competition Regulations, the participating Member Federations are responsible for taking out their own insurance to cover the risk of illness or injury of any member of their team when travelling to and from the European Athletics event and during the event itself. Please take the necessary steps to fulfil these requirements well in advance.

Local Transportation

Transportation between the Team Hotels and the various venues, including official and social functions, will be guaranteed by the LOC shuttle service. All transportation schedules will be displayed at info board both in the Team Hotels as well as in the other venues which are serviced by shuttles. Furthermore, there will be Services Desks operated by volunteers at most of the Team Hotels which can assist with any questions or requests related to transportation.

Bus Shuttle Service

Competition venue & warm-up area

A regular bus shuttle service will operate between the official Team Hotels and the Competition Venues & Warm-up Area. Regular travel time will be approx. 30 minutes, depending on the hotel location and traffic conditions.
Pick-Up and Drop-Off points can be seen in the appendices section.

Note: Warm-up is open only for Athletes, and their relevant Team Members, competing on that day and session.

The following routes will operate via a regular bus shuttle service, departure every 30 minutes:

  • Leonardo Royal Hotel Munich -> Warm-up Area/Competition Venue

There will also be a shuttle from the Competition/Warm-up Venue to the TUM area (Warm-up Area for long-distance throwers) which will be operated on demand. Maximum waiting time will be 15 minutes.

On Road Events days, a transfer service will also take the teams directly from the Team Hotels to and from Odeonsplatz, which is the official venue for Road Races (Marathon, 20km and 35km Race Walking).

To the training venue

A shuttle service will operate between the official Team Hotels and the Training Venue as per the opening hours of the training venue. Regular travel time will be approx. 30 minutes, depending on the hotel location and traffic conditions.

  • Infinity Hotel & Conference -> Training Area Vaterstetten
  • Hotel Holiday Inn City Center -> Training Area Vaterstetten
  • Leonardo Royal Hotel Munich -> Training Area Vaterstetten
  • The Rilano Hotel Munich -> Transportation HUB (Steigenberger Hotel Munich, Munich Marriott Hotel, Pullman Hotel Munich) -> Training Area Vaterstetten

Public Transportation

All Team Members will have access to Munich’s public transportation network (MVV). The official Team Accreditation will guarantee free use of public transport.

Transportation of Equipment

Each team is responsible for organising transportation of its poles until arrival in Munich.

To ensure a proper pick-up procedure, all teams are responsible for including their arrival information in the Final Entries including registering the poles as bulky luggage/special travel needs. A dedicated change request process for late changes after closing of the Final Entries will be shared in due time.Upon arrival at Munich airport, pick-up of the poles will be arranged by the LOC who will transfer them to the Training Venue, where they will be at the athlete’s disposal. All poles or bag of poles should bear the identification of the athlete (tag of the name, country, gender, event, number of poles per bag).

The procedure for handling in vaulting poles is as follows:

  • All athletes collect their vaulting poles at the “odd sizes” baggage desk before going through customs.
  • All athletes with vaulting poles will pick up the identification label at the Welcome Desk and hand over their poles to the LOC at the truck at Munich International Airport (MUC). Volunteers will assist.
  • Two trucks will support in storing vaulting poles at both terminals of Munich International Airport (MUC) and will remain there until the last arrival of the day. Bags of vaulting poles will be sorted by the LOC and delivered to the Training Venue.
  • In case of individual arrivals by car, athletes need to take their vaulting poles to their Team Hotel for storage and they will be picked up by the LOC and delivered to the Training Venue.
  • Poles need to be clearly identified.
  • The vaulting poles will be transported from the Training Venue to the Competition Venue the evening before the event.
  • After competition, the poles will be taken to the hotel or airport, as agreed with the Pole Coordinator, before being returned to the athlete.

Team Leaders are requested to liaise with the appointed pole coordinator, Marc Osenberg ([email protected]), for any vaulting pole related questions/issues for proper handling.

Departure

The frequency of this service will be based on the departure schedule, which will be posted at the Information Desk of each Team Hotel at least 24 hours before departure.

Teams will be asked to provide full travel details together with the final entries. After the closing of the Final Entries, any amendments and updates will have to be sent by email to [email protected] with copy to [email protected].

Team leader will also have to confirm departure details on site.

Personal Coaches

Transfers from/to Munich airport to the Team Accreditation Center (TAC) will be provided to all Personal Coaches as long as travel details have been provided, otherwise no transfer can be guaranteed. Respective travel details have to be included in the booking template provided by the LOC in advance.

Should the Team Accreditation Centre (TAC) be closed and should you not have booked any accommodation in a Team Hotel, no transfer will be provided from the airport upon arrival.
