The LOC has made accommodation arrangements in hotels of similar standard.
The hotels will officially open with full services from Wednesday 06 March. If members of your Federation are planning to arrive earlier, please contact the LOC ([email protected]) well in advance to make sure specific arrangements are made.
Information Desk
An Information Desk, which will also serve as Transportation Desk, will be located in the lobby of each team´s hotel and will be open from Wednesday 06 March (from the first team’s arrival time) to Monday 11 March (by the time of the last team’s departure), as follows:

Accommodation Costs & European Athletics Quota
European Athletics Quota
According to European Athletics competition regulations (1010.4.) European Athletics will pay the board and accommodation expenses for not more than 3 (three) days and for a maximum of 4 (four) men and 4 (four) women from each visiting team in each category, with a maximum of only 1 (one) man and 1 (one) woman in each event.
Ratio of Athletes & Officials
The number of team officials in the hereunder chart is also eligible for fixed price accommodation and other benefits. European Athletics will not cover these officials’ accommodation costs:

(1) Team Officials include: Head of Delegation, Team Leader(s), Coaches*, Medical Staff (medical doctors and physiotherapists), Team Press Liaison and others.
(*) Coaches also include Personal Coaches.
The teams may purchase additional coach packages (without accommodation and transportation but including accreditation with access to the warm-up, training facilities and team areas) only in case the maximum numbers of team officials as per the above ratio have been reached and fully used. Those packages will be charged at the rate of 150 EUR for the duration of the Cup and directly incorporated to the invoice of the respective Member Federations.
Accommodation Costs
The following rates apply for team members. This includes full board accommodation.

All prices include meals, VAT and City tax.
For the official period each Team will be allocated a minimum number of single rooms equivalent to 10% of the total number of athletes and officials registered in the Final Entries. Additional single rooms can be requested and will be given according to availability. Any single rooms above the 10% threshold will be charged at the rate of 140 EUR.
In case of later arrival/early departure of the sharing person, the night the twin room is used as a single room will be charged at the rate of the twin room (200 EUR during the official period and for one additional night).
The official period (for which European Athletics is covering team accommodation for the in-quota athletes) is from Friday 08 to Monday 11 March (3 nights).
An additional night has been fixed for Thursday 07 March. This means that if your team is planning to stay outside this period (4 nights), the above rates will not apply and a separate agreement will have to be made with the Leiria 2024 LOC (e-mail to: [email protected]).
European Athletics Regulations
We strongly encourage our Member Federations to enter the number of athletes and officials as detailed and precise as possible. European Athletics will strictly follow the following regulations:
1010.8. The final account for accommodation attributable to each Member Federation shall be based on the numbers declared in the Final Entries and this shall be paid in full, no allowance being made for any subsequent reduction in the actual numbers of athletes and/or officials.
1003.5. European Athletics may reduce financial support (for travel, board/accommodation grants, etc.) to any European Athletics Member Federation which, after having announced its participation, does not take part or attends the competition with a number of athletes and officials higher or lower than the number stated in the Preliminary Entry by 20% (1003.2). The latter applies only if the Preliminary Entry is more than 4 (four).
Note: The team invoice will be based on the accommodation requests included in the Final Entries as well as any additional requirements indicated after the closing of the Final Entries.

Payment Procedures
A proforma invoice will be sent to each Federation detailing the amount they owe based on their Final Entries. Advance payments should be made in EUR by bank transfer to the following account:

Note: A copy of the bank transfer will be required on arrival.
Should the amount (after the Final Entries) be settled by bank transfer, Team Leaders are requested to provide the LOC with a proof of payment upon arrival at the Finances Office that will be located in the Accreditation Centre.
Payment can be made by credit card or by cash in EUR.
Team Leaders must settle any extra charges (bar, laundry, telephone, etc.) at the hotel reception, before departure.
Rooming list
Detailed information about athletes and officials’ rooming list will have to be entered by the Member Federations during the Final Entries process.
Further changes have to be communicated directly to the LOC by email to [email protected] after the closing of the Final Entries.
Meals
Meals will all be served in buffet style and, to the extent possible, will be similar in all hotels. A large selection of suitable food will be available taking into consideration special diets, religion and culture of the participants.

Everyone is asked not to spend more than 45 minutes in the restaurant to assure enough rotation of seats as well as necessary cleaning in between, and thus impeding overcrowded restaurant.
If athletes have specific needs of early breakfast, the LOC will check with the hotels to ensure this can be accommodated.
On the competition days, the teams may have the possibility to have lunch at the Municipal Stadium Dr. Magalhães Pessoa, in Leiria. The corresponding requests for each competition day will have to be made in advance, by email to [email protected], no later than Wednesday 06 March, 12:00. Please check the corresponding menu in advance before placing the above mentioned requests.
A late serving provision will be made for those athletes and officials retained at the competition venues due to doping controls or protests.
For lunch and dinner, mineral water and one soft drink per person will be available free of charge. All other drinks must be paid for.
Accreditation cards and vouchers will allow access to meals. Furthermore, access to restaurants will only be possible at the hotel where the teams are staying.
All special dietary restrictions (eg. celiac, vegan, vegetarian, etc.), should be communicated to the LOC/Teams´ Hotels no later than Friday 01 March 2024.
Services in the Team Hotels
Meeting Rooms
Rooms for meeting opportunities will be available in each one of the teams´ hotels. Reservations shall be required via the Information Desk at a reasonable time in advance.
To ensure that all teams have access to the Meeting Rooms, reservations are limited to a maximum of 45 minutes, to ensure the necessary cleaning in between.
Teams requiring any additional service may make separate arrangements through the Information Desk.

Rooms for Physiotherapy
Dedicated rooms for physiotherapy will be provided for the teams with medical staff so that they can set-up their own massage beds.
There will also be LOC physiotherapy services offered to those teams that do not have their own medical staff (see Medical/Physiotherapy Services).
Internet Access
Free Internet access will be provided at the official teams´ hotels.
Check-in Procedures
During check-in teams will be given the keys to their room. The settlement of the pending payments and accreditation will be done afterwards via Team Leaders at the Accreditation Centre.
